Practifile (practifile.com) is a document-preparation service operated by Neuro Gnosis LLC. This policy explains what personal information we collect when you use Practifile, how we use and protect it, and the choices you have. Practifile is not affiliated with the IRS or any government agency.

• Account information — name, email address, optional phone number, and a password hash if you set a password.
• Application information — the answers you provide in the guided questionnaire to prepare IRS Forms SS-4 or W-7. Because of what these forms require, this includes sensitive data such as Social Security numbers, ITINs, dates of birth, addresses, and business details.
• Uploaded documents — if you use Smart-Fill, the documents you upload (for example formation documents or a passport data page) and the data extracted from them.
• Payment information — payments are processed by Stripe. We receive and store transaction records (amount, date, status, last four card digits); your full card number never reaches our servers.
• Usage and security data — IP address, device and browser information, log-in events, and security audit records.

• To prepare your application documents and operate your account.
• To provide AI-assisted features (assistant chat, document extraction, review suggestions).
• To process payments and send service emails (login codes, receipts, status updates).
• To provide customer support.
• To secure the service: fraud prevention, abuse detection, rate limiting, audit logging.
• To comply with legal obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

When you use the assistant chat or upload a document for Smart-Fill, the relevant content is processed by our contracted AI service providers to generate the response or extraction. We send only what the feature needs, our providers are bound by commercial agreements, and API inputs are not used to train their public models. Chat messages are additionally scanned so obvious identifiers (such as SSNs) are redacted before being sent to the model.

• Service providers that help us run Practifile — hosting, payment processing (Stripe), email delivery, electronic signatures, and AI processing — each only to the extent needed.
• Professional reviewers or authorized representatives when you purchase Attorney Review or Full Service, to deliver that service.
• Legal requirements — if required by law, subpoena, or to protect rights, safety, or the integrity of the service.

All traffic is encrypted in transit (TLS), stored data is encrypted at rest, access is role-restricted, and administrative actions are recorded in an audit log. No system is perfectly secure, but we treat tax-form data with the sensitivity it requires. Off-site encrypted backups are maintained to protect against data loss.

We keep your account and application data while your account is active so you can access your prepared forms. Payment and audit records are kept as required for accounting, security, and legal purposes. You can request deletion of your account data (see Section 9); we may retain records we are legally required to keep.

Our servers are located in the United States. If you use Practifile from outside the U.S., your information is transferred to and processed in the U.S.

You can view and edit your profile information in the app. For a copy of your data, corrections we can't make in-app, or deletion of your account, contact us at the address below. Depending on where you live (for example the EU/EEA or certain U.S. states), you may have additional statutory rights to access, correct, delete, or restrict processing of your personal information — we honor verified requests accordingly.

Practifile uses essential cookies only: they keep you signed in and remember your language. We do not use advertising or cross-site tracking cookies.

The service is intended for adults (18+). An adult may prepare an application on behalf of a dependent — for example a W-7 for a child — in which case the dependent's data is processed solely to prepare that application.
